Planning a week usually means opening four things. The calendar is in Google, the tasks are in Todoist or Notion, half the commitments are buried in Slack, and the rest is in your head. None of those know what the others contain, so you do the reconciling every Monday.

Make one Project and feed it three files

ChatGPT Projects hold files and instructions that persist across every chat inside them. Create one, name it whatever you want, and upload three things:

  • Your current to-do list

  • A calendar export for the week

  • The loose notes you have been keeping somewhere else

No new software, no integration to set up. Three exports dropped into one place.

The prompt

Using everything I have uploaded, build me a realistic plan for this week. One task block per day. Flag anything that conflicts with my calendar or that I have clearly overcommitted on.

Open the web version to copy this cleanly. Copying out of an inbox tends to drag stray line breaks with it.

The word doing the work is "realistic". Without it you get a plan that assumes eight uninterrupted hours a day. With it, and with the calendar sitting right there in the Project, it starts telling you what will not fit.

What to watch for

The files are a snapshot, not a live connection. Re-export at the start of each week or you are planning against last week's calendar.

The flagging is worth more than the plan. A schedule you half-agree with is easy to ignore. A short list of the things you have already overcommitted on is harder to argue with.
